Reflect Within is committed to protecting the privacy and confidentiality of individuals using our mental health and wellness services. This policy explains how we collect, use, and secure your data, including how we use Google APIs to schedule online sessions via Google Meet.

1. Information We Collect

• Personal Information: Name, contact details, employee identifiers, and basic demographic information.
• Session Information: Appointment date/time, session type (online/offline), therapist details.
• Google Calendar Data: Only data required to create an event and generate a Google Meet link (if authorized).
• Technical Data: IP address, browser information, login time (for security purposes).

2. How We Use Your Information

1. To provide therapy and wellness services.
2. To schedule appointments, including creating Google Calendar events with Google Meet links.
3. To send reminders and session notifications.
4. For anonymized reporting to corporate partners.
5. For internal quality assessment and legal compliance.

3. Use of Google Calendar API

Our application accesses Google Calendar API ONLY after you give explicit OAuth permission. This is used solely to:

• Create a calendar event for your appointment.
• Generate a Google Meet link.

We do NOT:

• View, read, or delete any other events from your calendar.
• Store or share your Google data outside session scheduling.

All usage complies with the Google API Services User Data Policy and Limited Use Requirements.

4. Revoking Access

You can revoke Google access anytime from your Google Account:

After revocation, we cannot schedule online sessions or generate Meet links.

5. Data Security

1. Encrypted digital storage and secure server environments.
2. Access restricted to authorized mental health professionals.
3. Regular audits and data protection training.

6. Confidentiality

Client data is strictly confidential. We DO NOT share individual information with employers.

Only aggregated and anonymized reports (e.g., usage statistics) may be shared with corporate partners.

7. Corporate Program Ensurance

• No identifiable information shared with employers.
• Participation remains confidential.
• Reporting is aggregated only.

8. Your Rights

1. Request access to your records.
2. Correct inaccurate information.
3. Withdraw consent where legally possible.

9. Exceptions to Confidentiality

We may disclose information without consent ONLY if:

1. There is risk of harm to self/others.
2. Mandated by court or legal request.
3. Child abuse or urgent safeguarding laws apply.

10. Third-Party Services

We only use Google Calendar API for event creation. No other Google APIs are used unless explicitly specified.

11. Policy Updates

This policy may be updated when required for legal or operational purposes. Users will be notified of significant changes.
