Welcome to Reflect Within Ventures Private Limited ("Reflect Within", "Company", "we", "our" or "us"). Reflect Within is an independent mental health and emotional wellness organisation dedicated to providing accessible, confidential and evidence-based psychological services through digital platforms, teleconsultation, workplace wellness programmes and in-person consultations.

Scope of Services

These policies govern every service offered by Reflect Within including: psychological counselling, psychotherapy, psychiatric consultation, nutrition counselling, Employee Assistance Programmes (EAP), psychological assessments, wellness workshops, and digital wellness tools.

Legal Status & Independent Role

Reflect Within operates as an independent mental healthcare service provider. Reflect Within does not function as an employer, insurance provider, or emergency hospital. The therapeutic relationship exists solely between the concerned healthcare professional and the user.

Target Audience & Stakeholders

Data Fiduciary Role (DPDP Act, 2023)

Reflect Within Ventures Private Limited acts as the Data Fiduciary in respect of personal data collected through its platform. We process data strictly for lawful, fair, transparent, and explicit wellness purposes.

Information We Collect

• Personal Identification: Name, age, gender, contact number, email address, and emergency contact details.
• Corporate Eligibility: Employee ID and corporate email (for verification only).
• Clinical & Wellness: Voluntarily disclosed therapy goals, mental wellness history, progress notes, and assessment responses.
• Technical Data: IP address, device type, and encrypted session logs.

Employer Confidentiality Guarantee

Where services are provided under an Employer Assistance Programme (EAP), your employer shall NEVER receive your identity, appointment records, therapy notes, or clinical data. Employers receive only aggregated, non-identifiable usage statistics.

Data Retention & Security

Clinical records are securely retained for a minimum of seven (7) years from the last consultation, as mandated by Indian tele-health guidelines, after which they are safely purged.

Eligibility

Services are available to legally competent individuals aged 18 and above. Minors require verifiable parental or legal guardian consent before accessing therapy sessions.

Professional Autonomy

Mental health professionals exercise independent clinical judgment. Neither corporate sponsors nor third parties may interfere with or direct therapeutic decisions.

Session Recording Policy

To maintain strict confidentiality, recording (audio, video, or screen capture) of consultations by either party without written consent is strictly prohibited.

Therapeutic Confidentiality & Legal Exceptions

All discussions remain strictly confidential between client and therapist. Exceptions apply only under mandatory statutory requirements: imminent threat of harm to self or others, child protection laws, or court orders.

Limitation of Liability

Reflect Within is not liable for indirect, incidental, or consequential damages. Total aggregate liability is limited to the fees actually paid by the user in the six (6) months prior to the claim.

Jurisdiction & Arbitration

Governed by the laws of India. Any disputes shall be subject to exclusive jurisdiction in Mumbai, Maharashtra.

Cancellation Notice Window

Appointments can be rescheduled or cancelled without penalty up to twenty-four (24) hours prior to the scheduled time slot.

Late Cancellations & No-Shows

• Under 24 Hours: Subject to full session fee or credit deduction.
• No-Show: Treated as a completed consultation; non-refundable.
• Provider Cancellation: Fully refunded or rescheduled at user convenience.

Refund Processing

Eligible refunds are processed back to the original payment channel within 7 to 10 business days.

Intellectual Property

All logos, branding, assessment frameworks, and content belong exclusively to Reflect Within Ventures Pvt. Ltd. Unauthorized reproduction or scraping is strictly prohibited.

Grievance Redressal Officer

In accordance with the DPDP Act 2023, data privacy concerns or grievance complaints can be submitted directly to our Grievance Officer.
